What Windows 11's "Windows Backup" Actually Backs Up (and What It Doesn't)
If you've set up a new Windows 11 PC lately, you've probably seen it: an app called Windows Backup, sitting right there in the Start menu, quietly telling you your stuff is protected. It's easy to assume that's the whole job done — Microsoft made it, it says "backup," it's on. You're covered.
Mostly, you're not — at least not the way most people think. And the gap between what Windows Backup actually does and what people assume it does is worth understanding, because it's exactly the kind of thing you find out about on the worst possible day.
This isn't a knock on Microsoft. Windows Backup does real, useful things. It's just that it does a much smaller job than its name suggests, and nobody tells you where the edges are. So here's a plain-English map of what it saves, what it doesn't, and how to check what you actually have.
What Windows Backup actually saves
The Windows Backup app in Windows 11 is really a settings-and-files sync tool, tied to your Microsoft account and OneDrive. When it runs, it backs up:
Your OneDrive folders. Files in your Desktop, Documents, and Pictures folders, if you've turned on OneDrive folder backup. These sync to your OneDrive cloud storage.
Some Windows settings. Things like your preferences, language settings, and some accessibility options.
Your Wi-Fi networks and passwords. So a new PC can reconnect without you re-typing them.
A list of your installed apps. Note the word list. It remembers which apps you had so a new PC can offer to reinstall them from the Microsoft Store — it does not save the apps themselves.
For its actual purpose — helping you move to a new PC without losing your documents and settings — this works reasonably well. If your goal is "I'm buying a new laptop and I don't want to set everything up from scratch," Windows Backup genuinely helps.
What Windows Backup does not save
Here's where the assumptions get people. Windows Backup does not create a full, restorable copy of your computer. Specifically, it doesn't save:
Your installed programs. It saves a list of them, not the programs. If your PC dies, you're reinstalling everything by hand — and anything that didn't come from the Microsoft Store (most professional software) isn't even on the list.
Your whole system. Windows itself, your program settings, your configurations, the way your machine is actually set up — none of that is captured in a form you can restore.
Files outside those specific folders. Anything you keep somewhere other than the OneDrive-synced Desktop, Documents, and Pictures folders — other drives, other folders, program data — isn't backed up at all.
Anything beyond your free OneDrive space. This is the big one, and it deserves its own section.
In other words: if your hard drive fails tomorrow, Windows Backup won't hand you your computer back. At best, it hands you your documents (the ones in the right folders, up to your storage limit) and a shopping list of apps to reinstall one by one. That's a real difference from what "backup" implies to most people — which is "if something goes wrong, I can get my computer back."
The silent failure almost nobody knows about
Here's the one that quietly catches the most people. A free Microsoft account comes with 5 GB of OneDrive storage. That's it. Photos, documents, and everything else Windows Backup syncs all share that 5 GB.
Most people fill 5 GB without noticing. And when OneDrive runs out of space, the sync doesn't fail loudly — it just stops. Your backup can show as "on" in the settings while, in the background, nothing new is actually being saved because there's nowhere to put it. You think you're protected. You're not, and nothing told you.
This is the trap: a backup that says it's working is not the same as a backup that is working.
How to check what you actually have — in five minutes
Rather than take anyone's word for it (including mine), go look for yourself:
Check your OneDrive storage. Go to onedrive.com, sign in, and look at how much space you've used. If you're near or at your limit (5 GB on a free account), your sync may have quietly stopped.
See what's actually in the cloud. While you're at onedrive.com, browse your folders. What you see there is what's actually backed up. What you don't see there is not.
Check which folders are protected. In Windows, open the OneDrive settings and look at "Backup" or "Manage backup." It'll show you which folders (Desktop, Documents, Pictures) are actually syncing — and which aren't.
Think about what's missing. Now picture your PC gone. Everything you couldn't find in step 2 is gone with it — your programs, anything on other drives, anything outside those synced folders.
That five-minute check tells you the truth about where you actually stand, which is worth far more than a green "you're backed up" message that may or may not mean anything.
The real lesson
The point here isn't that Windows Backup is bad. It's genuinely good at the job it was built for — carrying your files and settings to a new PC. The problem is that its name promises something bigger than it delivers, and the gap is invisible until you need it.
And that gap points at something true of every backup, not just this one: "backup is on" and "I can actually recover my computer" are two completely different things. The only way to know which one you really have is to test it — to actually restore something and confirm it works, before the day you're depending on it.
That's the difference between a backup and a hope.
